Frequently asked questions

What people ask about waytrk, from what it does to price and your data. Something not here? Ask us.

What waytrk does

What question does waytrk answer?

“Does our planned work support the strategy?” It asks this of every Objective and every Initiative, using the links and dates your teams record.

What is a Function?

A team, department or service, with its own plan. Every Initiative belongs to one Function, and a Business area holds several Functions.

Do we need a new framework, or to rewrite our strategy?

No. Record the strategy your leaders have agreed in waytrk's handful of record types, link the work to it, and add measures and assessments when they help.

Do we have to assess anything first?

No. Unassessed Functions simply show as not assessed, and missing links and dates show as gaps to fill, not errors.

What doesn't it do?

It doesn't collect progress from Jira, Azure DevOps or other systems, and a date passing doesn't count as progress.

Does it use AI?

Only if you choose to. AI Assist is optional, off until an Administrator switches it on, and isn't part of the free Function level. Its drafts and answers are suggestions: a person checks and saves any change themselves.

What can the AI see?

Only records the person using it can already see. It doesn't apply anything to the plan.

Keeping it up to date

Who keeps the plan up to date?

Each Function plan has one Owner, who changes the working plan whenever they need to. Contributors can suggest changes; a suggestion waits until the plan's Owner decides on it. A Strategy lead looks after the company priorities, Objectives and structure. Approval is optional: if you use it, the Owner submits a version and the Strategy lead decides.

What does waytrk work out for us?

Key Result status, gaps and timing conflicts, from the records people keep, and the board pack and meeting brief built from them. Nobody copies figures into a report: every view and pack reads the same records.

How long does upkeep take?

Once it is set up, each Function's Owner keeps its plan current with a short weekly update: new dates, links and readings. If the team keeps a workbook, its dates can be uploaded again. waytrk can't fill in what nobody has recorded, and doesn't copy in updates from delivery tools.

How do we get help?

Email us between 8am and 6pm UK time and you'll hear from the people who build waytrk, not a call centre.

What happens when updates stop?

waytrk says so. A Key Result with no reading for 90 days shows No update, and missing dates show as Dates missing. Nothing is emailed.

Fitting in with what you have

Does it work with the tools we already use?

Keep delivery detail where it is, and use waytrk to show which work serves which part of the strategy. It doesn't connect to delivery tools such as Jira or Azure DevOps yet.

Can we bring our plans in from Excel?

Yes. Load a Function's Initiatives from a workbook, up to 500 at a time. waytrk shows what it will add or change before anything is saved.

Can we get our records out?

Yes. Export the records behind any view as a CSV file that opens in Excel or any spreadsheet.

How do people sign in?

On Company and Enterprise, with their own Microsoft work account through your organisation's Microsoft Entra (single sign-on), set up with your IT team before you start. On the other levels, or if your organisation doesn't use Microsoft Entra, tell us how your people sign in today and we will agree it with you first.

What do we need for a first plan?

Your company priorities and the Objectives under them, so each piece of work can show why it matters. For each Function you start with, its Initiatives: a name, a description and planned start and finish dates where you know them. The Excel template has a column for each. Missing dates, and Change work with no Objective, show as gaps to fill, not errors. Run work needs no Objective. Dependencies between Initiatives can be added as you go.

Do we have to load everything at once?

No. Start with one Function from the Excel template, and add others when you are ready.

People and roles

What does our Administrator and IT team do?

Agree the sign-in set-up with us before you start. If your organisation doesn't use Microsoft Entra, tell us before you start. Invite people and give each a role: Administrator, Strategy lead, Owner, Change Manager or Viewer. Owners are assigned to their Business areas or Functions. When someone leaves, deactivate them: they can no longer sign in and their history is kept. The activity log shows who did what and when.

What would our board see?

A printable year-in-review pack and a shorter meeting brief, built from the same records your teams keep. Insights and reporting shows the pack for the example firm.

Do directors and trustees need paid seats to read it?

No. Nobody pays per person: everyone with access counts towards the level's limit, up to 1,000 people on a paid level.

Price and buying

What does it cost?

One Function is free. Business area is $1,990 a year or $199 a month, and Company is $4,990 a year. There is no set-up fee, and no VAT or sales tax is charged. Enterprise, for more than 1,000 people or several organisations, is priced to fit.

Who counts as a user?

Everyone with access to your organisation in waytrk counts, whatever their role. Every paid level includes up to 1,000 people, with no charge per person. The Business area level covers up to 10 Functions. The free level has two editors, and up to 100 people in all.

What happens when we need more than the free level?

The free level covers one Function. Adding a second Function moves you to Business area, which covers up to 10 Functions; beyond that, Company covers every Business area.

How does Enterprise differ?

Enterprise is for more than 1,000 people, or several organisations under one contract. Tell us how many people and organisations you would include, and we will price it to fit. Each organisation keeps its own plan and records.

Can we pay by invoice?

Yes, for any paid level, with your purchase order number on the invoice and 30 days to pay. Access starts when the invoice is issued.

Can we cancel?

At any time. Cancelling takes effect at the end of the period you have paid for.

Will prices change?

We give at least 60 days' notice, and a new price applies only from your next renewal. Founding prices stay fixed for their three years.

Do charities get a discount?

Registered charities get 50% off Business area and Company. Tell us your charity number and we check it before your first invoice.

What are founding places?

Founding places are open to up to 15 organisations that join by 31 March 2027. Founding organisations keep their price for three years and help shape what we build next. To see waytrk on example data first, sign up for a demo.

How can we try it?

Explore the example plan in your browser now, with no account. Or sign up for a demo: a 30-minute video call, led by the founder or another senior adviser, on example data shaped around your questions, so you don't need to share any plans.

What should we bring to a demo?

Your questions, not your data: two or three of your priorities, the teams you would plan first and one decision your leaders face. We show them on our example firm's plan, so you don't share any plans.

Your data

Where is our data held?

Where you choose. When your organisation is set up, you choose where its records are held, on Microsoft Azure: the UK, the EU, the United States, Canada, Australia or New Zealand. Your records are kept in that location. If you need somewhere else, tell us when you sign up for a demo.

Where can we ask about our product data?

Your records are held on Microsoft Azure, in the location your organisation chooses. Ask us before you start who at waytrk could see them and when, how long they are kept and how you take them out. Write to [email protected] or use the contact form, and we reply by email. Our privacy notice covers this website and the enquiries sent through it, not the records you keep in waytrk.
